CRM Port

CRM Port (Import Tool) is equipped to make import/update/delete data from the CRM easy. Supported files include .xls, .csv.
One of the key features of Import Tool is the flexibility to use it on all the Microsoft Dynamics platforms (Online, On-Premise, Hosted).
Operations
Import – Imports data mapped from the flat file provided to selected entity in the CRM.
Update – Updates record(s) with the data mapped that are in-par with the reference(s) made.
Delete – Deletes all the records of the selected entity.
Working with Import Tool
After installing the setup file, we need CRM username, password, organization name and the organization service url to login.

There is an option for remembering the credentials. Once the ‘Remember Credentials’ checkbox is checked, user credentials will be saved and shown in the ‘Username’ dropdown.
Import
  1. Select the ‘Import’ operation on the Import Mappings form.
  2. Upload the source file.
  3. Select the entity.
  4. Map the source fields to the respective CRM fields.
  5. Save the mappings.
  6. Click on Import button to perform the import operation.
  7. If there are any previously saved mappings, click on the ‘Load Existing Mappings’ to use them again.

Lookup Mappings
If the CRM attribute type is of “lookup” type then a form will be opened where we select the respective field in list shown according to which we want to fetch the lookup value.

Step 1: Choose the entity from the related entities drop down.
Step 2: Select the attribute which you want to map.
Step 3: Click on OK button.
Optionset/Picklist Mappings
Select the type from the dropdown list in the Option set Mappings form. If the type selected is of ‘Text’ then the text values will be loaded in the form.
If the type selected is value, then the user will have to map the option set source field to the values that are present in the dropdown list of CRM fields.

Save Mappings
If any changes are made in the existing mappings,  on clicking of ‘Save Mappings’ button a pop up will be shown asking the user to save the Mappings to the same file or to create a new mapping file.
If the user clicks on ‘Yes’ the mappings will be saved to a new XML file, otherwise on clicking of ‘No’ the mappings will be saved to the same file. 
Update
  1. Select the ‘Update’ operation.
  2. Upload the source file.
  3. Select the entity.
  4. Map the source fields to the respective CRM fields.
  5. Reference Map’ checkbox should be checked for the field that can be used in the query to fetch the required records.
  6. Save the mappings.
  7. Click on Update button to perform the operation.
Delete
  1. Select the ‘Delete’ operation.
  2. Select the entity.
  3. Click on Delete button to delete the records of the selected entity.CRMPort_05
